Overview

This privacy policy explains how Home Away From Home ("we", "us", "the organisers") collects, uses, stores, and deletes personal data submitted through the open call application form at homeawayfromhome.art.

We are committed to handling your data responsibly and in compliance with the EU General Data Protection Regulation (GDPR).

Data Controller

The data controller for this open call is the Home Away From Home organising team. For any questions or requests relating to your personal data, please contact us at homeawayfromhome.art@gmail.com.

What We Collect

When you submit an application, we collect the following information:

• Name (first name, last name, and artist name if provided)
• Email address
• Phone number and country code
• Instagram handle (if provided)
• Biography, including information about your practice, background, and connection to Milan
• Artwork details: title, year, classification, medium, dimensions, weight
• Artwork images (JPG) and video files (MP4) where submitted
• Written descriptions of submitted works
• Installation preferences
• CV and portfolio documents (where provided)

Why We Collect It

Your data is collected solely for the purpose of reviewing and selecting artists for the Home Away From Home exhibition (4–7 June 2026, Milan). Specifically, we use your data to:

• Review and evaluate applications for the open call
• Share submissions with the curatorial and advisory board team for selection purposes
• Contact you regarding the outcome of your application
• Coordinate with selected artists on exhibition logistics

The legal basis for processing your data is your consent, given when you submit your application, and — for selected artists — the performance of an agreement between you and the organisers.

Who Has Access

Your application data is accessible only to:

• The Home Away From Home curatorial team
• The advisory board, for the purposes of review and selection

Data is stored in Google Drive (Google Workspace). Google acts as a data processor on our behalf. Your data is not shared with any third parties beyond those listed above and is not used for marketing, profiling, or any purpose unrelated to this open call.

How Long We Keep It

We retain your data only for as long as necessary:

• Unsuccessful applicants: all submitted data will be permanently deleted within 60 days of the notification date (i.e. by 29 July 2026).
• Selected artists: data will be retained for the duration of the exhibition and for up to 12 months after the exhibition closes (i.e. by 7 June 2027), after which it will be permanently deleted.

You may request deletion of your data at any time before these dates by contacting us (see below).

Your Rights

Under GDPR, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data ("right to be forgotten")
• Withdraw your consent at any time (this will not affect any processing already carried out)
• Lodge a complaint with a supervisory authority — in Italy, the Garante per la protezione dei dati personali (garante.it)

Automated Decision-Making

We do not use automated decision-making or profiling in our selection process. All applications are reviewed by our curatorial and advisory board team.

Changes to This Policy

If we make material changes to this privacy policy we will update the date at the top of this page. We encourage you to review this policy before submitting your application.
